Job Description
Primary Objective:
- Lead, Direct, Monitor, Train and Manage team performance. Builds team that work well together and able to carry out plans.
- Managing and overseeing the entire project progress, contractual agreements, variation order, contract administration, dispute handling, subcontractors handling and negotiation till final account.
- Develops, implements, and maintains contracts management system and policies in corporations, engage in continuous improvement and review of existing compliance process, systems, and policies.
Contract management: |
Develop, review, and negotiate contracts, ensuring they comply with legal requirements and company policies. |
Monitor contract performance, ensuring adherence to terms, conditions, and timelines. |
Identify and resolve contract-related issues or disputes. |
Maintain accurate records of contracts, amendments, and related documentation. |
Conduct contract risk assessments and propose mitigation strategies. |
Relationship management: |
Foster positive relationships with vendors, suppliers, and contractors. |
Collaborate with internal departments (e.g., legal, procurement, finance) to ensure alignment and coordination in contract management processes. |
Serve as a point of contact for contract-related queries and provide guidance to internal stakeholders. |
Conduct regular contract performance reviews and maintain open communication channels with vendors to address any concerns or issues. |
Compliance and legal matters: |
Ensure contract compliance with relevant laws, regulations, and industry standards. |
Stay updated on legal and regulatory changes that may impact contracts or tenders. |
Collaborate with legal teams to address legal issues, mitigate risks, and ensure contractual compliance. |
Assist in the development and implementation of contract management policies and procedures. |
Financial management: |
Monitor contract budgets, expenditures, and financial performance. |
Identify cost-saving opportunities and negotiate favorable terms and conditions. |
Collaborate with finance teams to reconcile invoices, track payments, and resolve billing discrepancies. |

Documentation and reporting: |
Prepare and maintain comprehensive contract and tender documentation, including templates, forms, and reports. |
Generate regular reports on contract status, performance, and compliance. |
Provide updates and presentations to stakeholders on contract management activities. |
Continuous improvement: |
Identify opportunities to streamline and enhance contract and tender processes. |
Propose and implement process improvements, tools, or technologies to optimize efficiency and effectiveness. |
Stay updated on industry best practices and emerging trends in contract management. |
Key activities
· Manage the financial and contractual of all projects from pre-tender to post-tender including quantities, variations, measurement, tender costing, cost estimates, monthly claims, final accounts etc.
· Manage Quantity Surveyors, sub-contractors and clients on issues relating to progress payments, variations, claims and extension of time.
· Oversees contract development and ensures contracts are properly documented including setting up of contracts documents and work processes
· Attend site visits, negotiations, and project site meetings on ongoing projects
· Preparation and monitoring of project cash flow, settlement of final accounts with sub-contractors and suppliers
· Resolve problems encountered by Quantity Surveyors and Project team including dealing with clients and sub-contractors on cost and contractual matters
· Draft & review contracts and agreement, preparing detailed project budgets and costs estimates.
· Coordinate with project managers ensure project milestones, schedules, and completion
- Manage claims. Dispute, resolving final contract settlements, and maintain good relationship with clients
